Library Conference Rooms & Classrooms Policy

PURPOSE: Conference Room and Classroom Use and Scheduling
APPLICABILITY: NMU students, faculty, and staff.


  1. The Library provides conference rooms and classroom spaces (rooms) which may be reserved by NMU students, faculty and staff for individual or NMU group study/meetings. Reservations may be made at the Library Public Services desk either in person, by telephone (227-2260) or online (
  2. Rooms may be reserved up to two weeks in advance for a maximum of two hours per day. Rooms are unavailable 1/2 hour before the library closes. If no other group needs the room, users may extend their stay by renewing their room reservation and key check out at the Library Public Services desk. Requests to reserve a room for blocks of time longer than two hours will be reviewed on a per request basis by a full-time Library staff member. Submit a request for a recurring appointment; recurring appointments will be for the current semester.
  3. Room reservations are guaranteed for only the first 15 minutes of the reserved time block (this includes recurring reservations). Room reservations may be canceled ahead of time by notifying Library Public Services staff. Failure to show up for a conference room reservation for three times in a semester will result in a loss of the ability to make future reservations online for the rest of the semester (reservations for the current day could still be made in person).
  4. Classes may schedule the Library conference rooms for special assignments, discussions, or projects on a limited basis. Faculty are not permitted to move from their assigned classrooms to a Library room on a regular or permanent schedule. However, Registration and Scheduling may, in cooperation with the Dean of LIS, schedule classes in Library rooms on a semester basis.
  5. Room keys are held at the Library Public Services desk and are checked out using a valid NMU identification card. The individual borrowing the key is responsible for the key. Late fees of $.60 per hour or $10.00 per day (whichever is less) will be charged. Loss or theft of a room key will result in a replacement fee of $25.00 assessed to the individual who borrowed the key.
  6. Rooms should be left in good condition after use. If installed equipment is available, it should be turned off before leaving the room. Any damage to room furnishings and/or equipment should be reported to the Library Public Services desk. The individual or group who reserved the room may be held liable for damage.
